About the Colorado Department of Local Affairs

The Department of Local Affairs (DOLA) serves as the primary interface between the State and local communities. The Department provides financial support to local communities and professional and technical services (including training and technical assistance) to community leaders in the areas of governance, housing, and property tax administration. While all state governments provide such services through various Departmental structures, Colorado’s approach is unique in that these local community services are gathered into one Department of “Local Affairs,” which has a central focus on strengthening Colorado communities and enhancing livability.

Description of Job:

The eligible list established from this posting will be used to fill Administrative Assistant III positions throughout the Department of Local Affairs. Specific duties of the positions will be discussed at the time of interview.

Primary duties and responsibilities of this position include but are not limited to:

  • Provide excellent customer service by directing and/or responding to all stakeholders to include internal and external departments, other state agencies, and the general public;

  • Research information to resolve problems, concerns, errors, and/or complaints;

  • Type, review, file, copy and scan various documents and memos as needed;

  • Maintain a clear, concise and organized filing system electronically or physically;

  • Assists with file and records management as assigned;

  • Collect and compile data to generate reports and routinely update reports to reflect current and accurate information;

  • Tracking the budget expenditures for the assigned area;

  • Make purchases using the state issued Purchasing Card (P-Card);

  • Answer and respond to staff/stakeholder/offender inquiries via phone, facsimile, email or in person;

  • Ensure clear and concise communication with supervisors and staff members within the work unit, various departments and other state agencies;

  • Ensure supervisor and/or area manager is apprised of accurate budget totals on a regular basis.

  • Creating and revising office procedures and writing office procedure manuals, designing forms.

MINIMUM QUALIFICATIONS:

Experience Only:

Three (3) years of relevant experience providing administrative support.

OR

Education and Experience:

A combination of related education from an accredited institution and/or experience providing administrative support equal to three (3) years.

Preferred Qualifications:

  • State of Colorado government experience in an administrative or office support role

  • Experience working in a judicial, quasi-judicial or legal business environment or Paralegal certification

  • Experience using databases

  • Experience working with Microsoft Excel

  • Experience in customer service, including working with stakeholders with varying degrees of knowledge and/or technological skills

  • Experience creating and maintaining desk procedures

  • Experience working in an environment requiring multi-tasking skills

    Colorado Revised Statutes require that state employees are hired and promoted through a comparative analysis. The comparative analysis for this position will include a skill assessment. Appeal Rights:
