WorkSource Oregon Human Resources Specialist and Substitute Coordinator in Eugene, Oregon

SSENTIAL DUTIES AND RESPONSIBILITIES: Coordinate use of the Lane ESD\'s automated absence management and substitute placement system including: Process and orient special education teacher and educational assistant substitutes. Monitor completed applications Schedule interviews/orientation with selected applicants. Set up and monitor required pre-employment online training. Process new hire paperwork. Establish new substitute profiles in the appropriate system. Communicate annual and periodic notices to Lane ESD substitutes. Monitor the absence management system. Monitor substitute calling system, to determine when manual calling of substitutes is necessary. Maintain accurate employee and substitute information. Training of employee and substitute staff in system use. Monitor absence address submissions to ensure timely reporting and processing of leave information. Review absences for appropriate leave usage. Follow up with employees regarding leave options or clarifications. Produce reports from the automated system using standard and special reporting options. Process timesheets and leave reports Collect time sheets and reconcile with employee FTE and calendar. Reconcile time sheets with automated system absence reports. Review and correct leave discrepancies and upload to payroll system. Assist with development of employee work calendars as needed Prepare annual work calendars based on assignment/length of contract. Coordinate with service area office managers on final approved calendars and updates Reconcile employee calendars with district calendars. Monitor and process any approved changes in work calendars. Provide general Human Resources supports. Assist with maintenance of electronic and paper HR files. Maintain and monitor status of TSPC license renewals. Maintain a working knowledge of all areas of the Human Resources budget and ensure fiscal transactions conform to ESD fiscal policies and procedures. Reconcile department credit card bills and assure costs are allocated appropriately. conduct procurement activities, including travel arrangements, preparing invoices, and processing reimbursements.. F. Provide backup support for other Administrative and Human Resources staff as assigned. G. Perform other duties and responsibilities as assigned.
