Robert Half Accounts Payable Specialist in Gardena, California

Description We are seeking an Accounts Payable Specialist to join our non-profit team in Gardena, California. This role involves maintaining payable transactions and working closely with various departments to ensure accurate revenue invoices. You will play a crucial part in our agency's cashflow related processes and will provide checks and balances for outgoing payables to vendors, providers, and clients.

Responsibilities:

• Analyze, review, and process childcare provider payments ensuring they are processed timely and accurately in accordance with compliance standards.

• Provide support and technical assistance to providers, program staff, and other agency staff via email, in person, or over the phone.

• Process vendors’ bills correctly and in a timely manner, ensuring utilities are paid on time.

• Enter incoming invoices into the accounting system with the correct amount and accounting entries.

• Send vendors’ invoices to the authorized signatories for approval prior to payment.

• Create and maintain vendors files and update filing systems; file all paid invoices in an organized fashion.

• Assist with the ordering of agency program supplies and verify upon their delivery.

• Follow up with programs on pending receipts needed.

• Issue stop-payments, file affidavit of Claimant to bank.

• Research, track and restore accounting or documentation problems and discrepancies.

• Analyze transaction information to identify refunds, delinquent accounts, and insufficient payments.

• Ensure that discrepancies including overpayment or underpayments are timely resolved.

• Verify vendor accounts by reconciling monthly statements and related transactions.

• Reconcile transactions with subledger, general ledger and statements.

• Maintain accurate financial record of all payable transactions, verifications, etc.

• Secure financial data via data backups and security monitoring. Requirements • Must possess a minimum of a Bachelor's degree in Accounting, Finance, or a related field.

• Proven experience as an Accounts Payable Specialist or in a similar role.

• Proficiency in using Financial Edge software is essential.

• Strong understanding of general accounting principles and financial regulations.

• Ability to process and manage invoices accurately and timely.

• Excellent data entry skills along with a knack for numbers.

• High degree of accuracy and attention to detail.

• Proficient in MS Office, particularly Microsoft Excel.

• Exceptional problem-solving skills.

• Strong organizational skills with the ability to manage multiple assignments.

• Excellent communication and interpersonal skills.

• Ability to work independently and as part of a team.

• Strong ethical standards and high levels of integrity.

• Ability to respect and maintain confidentiality.

• Comfortable working in a fast-paced, non-profit environment.

• Willingness to continually update skills and knowledge as required for the job.
