Robert Half Administrative Assistant in Indianapolis, Indiana

Description We are seeking an Administrative Assistant to join our team in the Service industry based in Indianapolis, Indiana. The role involves ensuring the smooth running of office operations by handling incoming calls, greeting clients, and entering information into the computer system. The Administrative Assistant will also be responsible for assisting with payroll and accounting duties, preparing and maintaining reports, receiving and preparing outgoing mail, and maintaining office efficiency.

Responsibilities:

• Ensures a safe working environment by adhering to company policies and processes.

• Handles incoming calls professionally and directs calls accordingly.

• Greets clients and prospective clients, making them feel comfortable when visiting the office.

• Enters information into the computer, such as timesheets, job files, purchase orders, and log sheets.

• Assists the Administrative Assistant with payroll calculations and accounting/bookkeeping duties, such as coding invoices and expense reports.

• Prepares, reviews, and updates daily, weekly, and monthly reports as required; maintains various records and logs in the system.

• Receives letters, packages, etc., and notifies the sender of its acceptance and location; prepares outgoing mail by drafting correspondence and securing parcels.

• Contacts vendors for pricing, ordering, and maintaining needed supplies.

• Manages files, makes copies, operates office equipment, and follows office workflow procedures to ensure maximum efficiency. Requirements • Minimum of 3 years of experience as an Administrative Assistant or related role in the service industry

• Proficiency in using MS Word and MS Excel

• Ability to perform data entry tasks, including numeric data entry

• Experience in organizing files and maintaining administrative office systems

• Excellent typing skills for data entry tasks

• Strong organizational skills and attention to detail

• Excellent written and verbal communication skills

• Ability to multitask and prioritize tasks efficiently

• Proven ability to work in a team environment

• Willingness to learn new skills and adapt to changes in job requirements

• High school diploma or equivalent required; higher education or certifications in relevant fields are a plus

• Demonstrated ability to maintain confidentiality and handle sensitive information

• Strong problem-solving skills and ability to make decisions independently

• Experience in customer service is a plus.
