HOW YOUR ROLE FITS INTO BOLDT: The Administrative Assistant willserve asan ambassador forThe Boldt Companyby being the first point of contactforvisitors and guests. This position will provide administrative support and related services crafted to improve operating efficiency. Required Skills WHAT YOU GET TO DO: Perform basic administrative tasks such as copying, filing, and mailing as directed by management team. Prepare and process invoices using process automation software. Prepare letters, memos, emails, other correspondence, etc. Coordinate the corporate mailing program as well as act as primary liaison between The Boldt Company and mail/packaging vendors. Prepare the mail operations center for conducting the day's business. Sort mail as well as process overnight deliveries. Prepare required internal reports as it pertains to mail and package usage, trends, etc. Monitor inventory and order office supplies. Ensure meeting rooms are set-up with proper equipment, materials and supplies. Order and set-up food and beverages. Test and assist with technology required for meetings. Clean up after meetings. Greet visitors with a friendly and effective manner. Effectively use telephone, email, and other forms of communication to present a quality-oriented image where every customer is treated in a consistent, courteous, and professional manner. Assist employees in miscellaneous inquiries or needs. Perform special projects as assigned. This may include projects for human resources, finance, or the president's office. Required Experience WHAT WE EXPECT FROM YOU: High school degree or equivalent required. At least two years of administrative experience required. Intermediate Microsoft O365 knowledge required. PHYSICAL REQUIREMENTS AND WORKING CONDITIONS: While performing the duties of this job, the employee is frequently required to remain in a stationary position for up to eight hours. The employee occasionally is required to move to access people or workspaces. Constantly operates a computer and other office equipment, such as a calculator, copy machine and computer printer. The ability to effectively communicate is required. The employee may occasionally move up to 15 pounds. The working conditions of this positionrequires the employee to work inside an office environment. The environment for which this position functions may contain scents and fragrances. May be requested to work overtime and weekends.
