Job Overview:
The administrative assistant is responsible for overseeing the day-to-day operations of the office and determining when new procedures are needed for changing situations and implementing alternatives; revising or clarifying procedures to eliminate conflict or duplication; identifying and resolving various problems that affect the orderly flow of work in transactions with parties inside and outside the organization.
In addition to secretarial duties (filing, taking phone calls, scheduling appointments, organizing company functions), this position will provide administrative support to the program manager with office management responsibilities including budgeting, personnel records, and payroll. The administrative assistant may be required to work independently on projects requiring research and preparation of briefing charts and other presentation materials
Responsibilities:
Checking and submitting new employee packages to the home office
Filing short term disability, FMLA claims and workman’s compensation claims
Publish daily and monthly reports, as required
Track service calls and work orders
Enter daily/weekly maintenance activities in computerized maintenance management system database
Send payroll data and invoices to main office weekly
Issue e-mails and hard copy correspondence, as required
Prepare invoices to send to client
Assemble cost estimates for projects
Dealing directly with vendors to set up accounts and address any other issues
Other duties as assigned
Requirements:
High school diploma or General Education Development (GED) certificate.
Experience is preferred.
Knowledge with Microsoft Office
